Projects, rooms & the Rooms & Zones screen

Projects

A project is a single client engagement — usually a renovation or a full-home fit-out. Each project has a name, a client (name + email), a property address, a total budget, and a project currency. The project currency is the client's currency: every budget number, every invoice, and everything the client sees in the portal is expressed in it, no matter what currency an individual item was sourced in — see Currencies and multi-currency projects.

Your projects list shows every active project at a glance. Projects can be archived when a job wraps up.

Rooms & Zones

Open a project and you land on Rooms & Zones — the room grid for that project. This is the project-level view; click into a room to work with its items (see Room Details).

The project stat strip

At the top of the screen:

Stat What it shows
Budget Consumed Total spend across all rooms, with a $ / % toggle
Rooms Approved An X/Y ring — how many rooms are marked Approved out of the total
Creation Date When the project was created
Delivery Date An editable target delivery date

Setting the delivery date: click the Delivery Date value in the stat strip — an inline date picker appears, pick a date, and it saves automatically. (We haven't confirmed whether there's a way to clear a delivery date once set from the UI — if you need one removed, contact support.)

Room cards

Each room shows as a card with:

  • A photo carousel — room photos first, falling back to item photos if the room has none. Cards with more than one photo show dot indicators at the bottom-left; click a dot to jump to that photo.
  • An approval status pill (bottom of the photo) — In progress / In review / Approved. Click it to open a menu and pick a new status; it saves immediately, no save button.
  • An items-approved count (e.g. "3/8 items approved") — this is a separate number from the room's own approval status. The pill is a workflow state you set by hand; the items-approved count is computed from how many items in the room are actually marked approved.
  • A "…" menu with Delete — deletes the room after a confirm dialog. (We haven't confirmed whether a deleted room can be recovered — treat it as permanent until we can confirm otherwise.)

Finding a room

Use Quick find to search by room name, or the Filter button in the toolbar to show only rooms in a given approval status.

FAQ

What's the difference between a room's approval status and its budget-health colour? The status pill (In progress / In review / Approved) is something you set by hand — it's a workflow marker. Budget health (on track / approaching / over) is computed from spend against the room's allocation and shown separately as a colour. They can disagree — a room can be "Approved" and still be over budget.

Can my client see a room's approval status? We haven't confirmed this is surfaced in the client portal today — don't promise it to a client until we can verify it.

Why did a room's cover image change? The carousel picks up room photos first; if none exist, it falls back to photos from the room's items. Add a dedicated room photo if you want a fixed cover image.
